Responsibility:

The Program Administrator is responsible for relationship management and development, communication and collaboration, program management, compliance, and oversight, reporting and impact assessment.

Purpose: The Program Administrator plays a pivotal role in ensuring effect compliance, and oversight of grant programs within our organization. This position is responsible for coordinating all aspects of the grant process, ensuring alignment with organizational goals and regulatory requirements. This role requires an enthusiastic, detail-oriented individual with strong organizational, communication, and analytical skills.


Essential Functions

Relationship Management and Development:

  • Collaborate with Executive Leadership and Grants team to develop and implement strategic plans and goals for grant funding.
  • Identify opportunities for growth and expansion and develop strategies to address them.
  • Serve as the primary point of contact for grant applicants and recipients, providing guidance and assistance as needed.
  • Foster positive relationships with external stakeholders, including funding agencies, partners, and community organizations.
  • Collaborate with internal teams to leverage resources and expertise in support of grant-funded initiatives.

Communication and Collaboration:

  • Facilitate communication and collaboration among departments and teams, promoting transparency and information sharing.
  • Coordinate meetings and other events to foster networking and collaboration within the organization and with external partners.

Program Management:

  • Oversee the Grant program, including application review and reporting.
  • Develop and implement procedures for efficient and effective grant management.
  • Coordinate with internal stakeholders to ensure alignment of grant activities with organizational priorities.
  • Review grant budgets and expenditures to ensure compliance with funding requirements.
  • Research and make recommendations for grant funding opportunities.

Compliance and Oversight:

  • Ensure that all grant activities adhere to regulatory requirements and organizational policies.
  • Conduct periodic audits and reviews to assess compliance with grant terms and conditions.

Reporting and Impact Assessment:

  • Oversee the collection of data to measure the impact and effectiveness of grant-funded programs.
  • Prepare reports for internal and external stakeholders, highlighting key achievements, challenges, and lessons learned.
  • Utilize evaluation findings to inform decision-making and improve future grant initiatives.

Other

  • Attends seminars and conferences as necessary to obtain and review knowledge of current federal, state and local rules and regulations relevant to assigned area.
  • Proficient skill in the use of word processing, spreadsheets, databases, and related software applications

Qualifications

  • Associate degree with two years of administrative experience or bachelor’s degree in a relevant field (e.g., nonprofit management, communications, or business)
  • Planning and organizational skills, accuracy, and attention-to-detail are all critical skills.
  • Effective oral and written skills, including technical writing and fiscal reporting skills.
  • Ability to work in a demanding environment with overlapping deadlines, changing priorities, and short lead times.
  • High proficiency with Microsoft Excel and Information Management Systems
  • Must have the ability to coordinate and organize multi-agency work activities and troubleshoot problem situations.
  • Ability to successfully collaborate with and interact with colleagues and funding sources.
  • Project management experience requires 1 years.
